How can Nalytics help?

When an organisation decides to move from using one information store to another, such as changing their document management system or database, they are faced with the dilemma of what to do with their legacy data. Do they migrate it to their new system, continue to pay license and support to the incumbent vendor so that they are still able to access the legacy data, or do they simply do nothing and potentially lose this valuable trove of organisational memory?

The migration option takes time and not insubstantial resources to achieve. Retaining licenses for the legacy system is costly: license and maintenance costs, infrastructure, and ongoing administration, to name but a few considerations.

We believe that you shouldn’t have to compromise on access to your historic information. Nalytics enables you to quickly and easily access all your legacy data by creating a secure and searchable data archive.

All file types in the archive are searchable at once so there is no need to undertake time-consuming, and often inconsistent, searches in each system. Nalytics has an intuitive user interface that enables you to quickly find documents and content in the preserved data archive and has a range of easy to use tools to facilitate search, discovery and analysis of data, including-

  • Variable scope search: Vary the scope of your search to suit specific needs, from returning results where all of the search terms occur within the same sentence to make sure you find only the most relevant information, through to searching for documents where any of the specified search terms occur to return the greatest set of results.
  • Contextual results: Resulting search terms are shown in the context of the sentences they occur in to make it quick and easy to determine which results merit further investigation.
  • Document Viewer: Results are displayed in our proprietary document viewer which enables you to see further context and navigate through the document. Selected terms can be investigated further through searching within the current data set and definitions sought from an online dictionary or even Wikipedia.
  • Filters: Use the documents’ own metadata (such as document type, date modified, author, and so on) or define your own (to tag or otherwise categorise your data), to filter results and ensure only the most relevant information is returned thus reducing the amount of information to be reviewed.
  • Source Display: Once relevant documents have been identified you can either display content in our proprietary viewer or (if authorised) you can open the actual source document itself.
  • Redaction: Sensitive information such as personally identifiable data can be discovered and redacted to ensure only those who are allowed to see it are able to.

Nalytics has already proven its worth with one of our customers, leading UK Law firm Gosschalks Solicitors. Steve Savage, Development Director at Gosschalks Solicitors said-

“Retiring our iManage solution in favour of something new was not an easy decision to make. It was made more difficult because we needed to find a robust solution for our legacy documents without having to maintain all of the licenses and hardware required to retain our iManage infrastructure over the coming years.

We have been able to migrate everything into a new, secure, simple to use environment with almost zero overhead in terms of management time and at a fraction of the cost. Having worked with Nalanda to refine the search process based around our specific requirements, our Nalytics Preserve solution also offers other significant benefits too, such as enhanced metadata search performance and improved content functionality.”
